Sales – we collect data from our customer via email & telephone communication, and in person. We gather this information to enable us to process your interest & requests, registration, addition to mailing lists, and any valuation or viewing bookings you make for a property.
By submitting your information, you consent to the use of that information as set out in this Policy. If our Privacy Policy changes, we will display the changes on our website, to ensure that you are aware of the personal data we collect, and how it is used, at all times.
Lettings – we use personal information about you to assess the risk in providing you with the lease/tenancy of the premises you have requested and if the risk is considered acceptable, to provide you with a lease/tenancy of the premises. To carry out this role when processing your application, during the term of the tenancy and for some time thereafter, we are often required to disclosure your personal information to one or more of the following:
- The landlord
- The landlord’s lawyers, mortgagees, or insurer
- Referees you have nominated.
- Reference companies we use to complete our credit checks.
- Organisations or trades people required to carry out maintenance to the premises.
- Rental bond authorises or rent bond insurance providers.
- Residential tenancy tribunals & courts
- Collection agencies
- Other Letting Agents & landlords.
- Utility Providers
If your personal information is not provided to us and you do not consent to the uses of which we put your personal information, we cannot properly assess the risk to our client or carry out our duties as a letting & property management agent. Consequently, we then cannot provide you with the lease/tenancy.
All personal data is stored securely in accordance with the EU General Data Protection Regulation (Regulation (EU) 2016/679) (GDPR).
Personal data will only be retained for as long as necessary (maximum 6 years) in line with legal requirements. In the absence of legal requirements, data will be deleted when the purpose for which it was provided is no longer valid, and/or when the data is no longer up to date.
